How to Access Live SAP Ariba Source Data in Power Automate Desktop via ODBC

The CData ODBC Driver for SAP Ariba Source enables you to access live SAP Ariba Source data in workflow automation tools like Power Automate. This article shows how to integrate SAP Ariba Source data into a simple workflow, moving SAP Ariba Source data into a CSV file.

Through optimized data processing, CData ODBC Drivers offer unmatched performance for interacting with live SAP Ariba Source data in Microsoft Power Automate. When you issue complex SQL queries from Power Automate to SAP Ariba Source, the driver pushes supported SQL operations, like filters and aggregations, directly to SAP Ariba Source and utilizes the embedded SQL engine to process unsupported operations client-side (e.g. SQL functions and JOIN operations).

Connect to SAP Ariba Source as an ODBC Data Source

If you have not already, first specify connection properties in an ODBC DSN (data source name). This is the last step of the driver installation. You can use the Microsoft ODBC Data Source Administrator to create and configure ODBC DSNs.

In order to connect with SAP Ariba Source, set the following:

• API: Specify which API you would like the provider to retrieve SAP Ariba data from. Select the Supplier, Sourcing Project Management, or Contract API based on your business role (possible values are SupplierDataAPIWithPaginationV4, SourcingProjectManagementAPIV2, or ContractAPIV1).
• DataCenter: The data center where your account's data is hosted.
• Realm: The name of the site you want to access.
• Environment: Indicate whether you are connecting to a test or production environment (possible values are TEST or PRODUCTION).

If you are connecting to the Supplier Data API or the Contract API, additionally set the following:

• User: Id of the user on whose behalf API calls are invoked.
• PasswordAdapter: The password associated with the authenticating User.

If you're connecting to the Supplier API, set ProjectId to the Id of the sourcing project you want to retrieve data from.

Authenticating with OAuth

After setting connection properties, you need to configure OAuth connectivity to authenticate.

• Set AuthScheme to OAuthClient.
• Register an application with the service to obtain the APIKey, OAuthClientId and OAuthClientSecret.

Automatic OAuth

After setting the following, you are ready to connect:

APIKey: The Application key in your app settings. OAuthClientId: The OAuth Client Id in your app settings. OAuthClientSecret: The OAuth Secret in your app settings.

When you connect, the provider automatically completes the OAuth process:

1. The provider obtains an access token from SAP Ariba and uses it to request data.
2. The provider refreshes the access token automatically when it expires.
3. The OAuth values are saved in memory relative to the location specified in OAuthSettingsLocation.

When you configure the DSN, you may also want to set the Max Rows connection property. This will limit the number of rows returned, which is especially helpful for improving performance when designing workflows.

Integrate SAP Ariba Source Data into Power Automate Workflows

After configuring the DSN for SAP Ariba Source, you are ready to integrate SAP Ariba Source data into your Power Automate workflows. Open Microsoft Power Automate, add a new flow, and name the flow.

In the flow editor, you can add the actions to connect to SAP Ariba Source, query SAP Ariba Source using SQL, and write the query results to a CSV document.

Add an Open SQL Connection Action

Add an "Open SQL connection" action (Actions -> Database) and configure the properties.

• Connection string: DSN=CData SAP Ariba Source Source

After configuring the action, click Save.

Add an Execute SQL Statement Action

Add an "Execute SQL statement" action (Actions -> Database) and configure the properties.

• Get connection by: SQL connection variable
• SQL connection: %SQLConnection% (the variable from the "Open SQL connection" action above)
• SQL statement: SELECT * FROM Vendors

After configuring the action, click Save.

Add a Write to CSV File Action

Add a "Write to CSV file" action (Actions -> File) and configure the properties.

• Variable to write to: %QueryResult% (the variable from the "Execute SQL statement" action above)
• File path: set to a file on disk
• Configure Advanced settings as needed.

After configuring the action, click Save.

Add a Close SQL Connection Action

Add a "Close SQL connection" action (Actions -> Database) and configure the properties.

• SQL Connection: %SQLConnection% (the variable from the "Open SQL connection" action above)

After configuring the action, click Save.

Save & Run the Flow

Once you have configured all the actions for the flow, click the disk icon to save the flow. Click the play icon to run the flow.

Now you have a workflow to move SAP Ariba Source data into a CSV file.
